ACADEMIC REGULATIONS

Academic Regulations & Procedures

These Academic Regulations are formulated to regulate and co-ordinate the administration of academic and related matters.
The responsibility of knowing and following these rules rests with the student. The University reserves the right to amend the Academic Regulations and Procedures as and when necessary.

Section A - Academic Regulations

1.00 DEFINITIONS

1.01 University
University means Universiti Teknologi PETRONAS

1.02 Diploma/Degree
A diploma/degree is an academic award given by the University to a student who has successfully completed all requirements as determined by the University.

1.03 Programme
Programme means any University degree programme

1.04 Programme Requirement
A programme requirement is a list of courses and other activities for a particular programme specified by the Faculty which must be fulfilled by the student in order to be awarded a diploma/degree.

1.05 Semester
A semester is an academic period of about six (6) months which normally starts in June or December.

1.06 Credit Hour
A credit hour is a weightage given to a course based on the number of hours per week of lectures, tutorials, or laboratory work.

1.07 Assessment
An assessment is a system of rating a student's academic/practical performance through examinations, tests, quizzes, assignments, laboratory work, practical/industrial training and other specified activities.

1.08 Grade
A grade is an assessment in the form of a letter grade signifying a student's performance in a particular course.

1.09 Examination
An examination includes any assignment or written or oral/practical work which a student is required to do and which is taken into account in assessing his final results in a course.

1.10 Grade Point Average (GPA)

A grade point average obtained by a student at the end of a semester is calculated as follows:

GPA = Sum total of Credit Points Scored in the Semester

1.11 Cumulative Grade Point Average (CGPA)

A CGPA is the grade point average obtained by a student based on all examinations he has sat for to date. The calculation is based on the following formula.

CGPA = Sum Total of Credit Points Scored to Date

Sum Total of Credit Hours Attempted to Date

1.12 Core Course
A core course is a course which is of major importance to a particular Programme.

1.13 Elective
An elective is a course which students can select from the list of courses offered to meet the programme requirements. The Programme shall maintain the schedule of elective courses offered and reserves the right to change or maintain, the said elective in any semester.

1.14 Pre-requisite
A pre-requisite is a course in which a student has to attain an acceptable level pass before he can proceed to attempt any subsequent course as specified in the programme requirement.

1.15 Transcript
A transcript is the complete record of a student's academic performance. This is given to the student on request and can only be obtained from the Office of the Registrar.

1.16 Course Exemption
A student may apply for course exemption on the basis of recognized academic work in a similar course at other institutions of higher learning, subject to Programme requirement. The exemption will be recorded in the University transcript and the student will be deemed to have earned the equivalent credit hours for the purpose of graduation.

1.17 Repeat
A student who has failed a course from an earlier semester shall be required to repeat and pass the said course at the earliest possible when that course is offered again.

1.18 Examiner
An Examiner is a lecturer/tutor appointed by the Director of Academic Studies to set and mark examination papers for a particular course for a particular period.

1.19 Invigilator
An Invigilator is an officer/lecturer/tutor appointed to supervise the conduct of a particular examination.

1.20 Appeal
An appeal is a request by a student to the Examination Appeal Committee.

1.21 Dean's Certificate
A student will be given a Dean's Certificate if he/she obtains a Grade Point Average (GPA) of 3.50 or above based on a workload of at least fifteen is credit hours during that semester.

1.22 Suspension Period
A suspension period is a period in which a student is suspended from being a student of UTP due to disciplinary or Academic action taken against him. The suspension period may be considered as part of the duration of study at University.

1.23 Probation Period
A student will be placed under probation period when he fails to attain the minimum GPA of 2.00

1.24 Supplementary Examination
A supplementary examination may be conducted if deemed necessary by the Examination Committee.

1.25 Audit
An audit refers to a situation where a student voluntarily signs up for a course, attends lectures but does not sit for examination.

2.00 SEMESTER SYSTEM
In a semester system normally, the academic year is divided into two (2) semesters.

3.00 GRADE

GRADE MEANING GRADE POINT
A High Distinction 4
A- Distinction 3.75
B+ High Credit 3.5
B Credit 3
C+ High Pass 2.5
C Pass 2
D+ Redeemable 1.5
D Redeemable 1

The course graded P/F will not be included in calculating Grade Point Average.

GRADE DEFINITION
Y Absent or unable to complete course work or practical training with permission (will not be included in calculating GPA).
I Incomplete. Unable to complete a course that a student must pass due to unforseen circumstances.
X Absent or unable to complete course work or practical training without permission (Grade Point - 0.00).
M Exemption.
U Audit.

4.00 WITHDRAWAL FROM EXAMINATION

Any candidate who cannot be present at examination due to illness, injury or other acceptable reasons may apply to withdraw from the examination.

5.00 SATISFACTORY PERFORMANCE

Each student's record is reviewed at the end of each semester. A student's performance is considered satisfactory if he obtains a GPA and CGPA of 2.00 and above. If a student's CGPA is unsatisfactory., he is subject to being placed on probation or dismissal from the University.

5.01 Academic Probation
A student may be put on academic probation if he obtains a GPA of 1.50 to 1.99 for any semester.

5.02 Academic Probation And Warning
A student may be put on academic probation & warning if he obtains a GPA of 1.00 to 1.49 for any semester.

5.03 Academic Dismissal

A student may be dismissed under the following conditions:

i) Being on probation for two (2 ) consecutive semesters.
ii) Obtaining a CGPA below 2.00 after each academic year.
iii) Exceeding the maximum duration of stay.
iv)  Obtaining CGPA and GPA less than 1.00

6.00 ACADEMIC MISCONDUCT

Academic misconduct includes cheating and plagiarism. Cheating implies dishonesty in fulfilling academic requirements. Plagiarism may involve presenting another person's work as one's own. In the case of academic misconduct, lecturers have the full authority to grant a failing grade for work undertaken.

7.00 NOTICE OF ABSENCE

Students must obtain written permission from the Director of Academic Studies or Programme Head if they are not able to attend classes. Those students who are absent due to sickness, must submit the Medical Certificate as soon as possible.
Students who are absent for more than 10% total hours of any course without prior written permission may be barred from sitting for the examination in that course.

8.00 DURATION OF STAY AT THE UNIVERSITY

The maximum period allowed for a full time student to pursue his programme of study beyond the recommended duration of his programme will be as follows:
i) six (6) additional semester for 5-year programmes.
ii) four (4) additional semesters for 4-year programmes.

9.00 CO-CURRICULAR ACTIVITY

A co-curricular activity is an extra-mural activity that is compulsory for all University students. A student is required to take a co-curricular activity as specified by the University. The Head of Student Services shall determine the eligibility of any student for exemption from co-curricular activity.

10.00 GRADUATION REQUIREMENTS

To graduate a student must :

i) Obtain a CGPA of 2.00 or above.
ii) Pass all courses as required by the programme.
iii) Satisfy all requirements as prescribed by University.


Section B - Academic Procedures

1.00 EXAMINATION PROCEDURES

All students are required to register as students of the University as prescribed at the beginning of each semester.

2.00 REGISTRATION OF EXAMINATION

i) Only registered students of the University are eligible to sit for examination.
ii) The Semester Examination will normally be held at the end of every semester.

3.00 ELIGIBILITY

A student is eligible to sit for examination on condition that:

i) He has registered for the course, and
ii) He has satisfactorily completed all necessary assignments, tests, class projects and attendance as required. Any assignment or test not attempted shall be given a zero score for the purpose of continuous assessment.

4.00 EXEMPTION OF COURSE

i) Students may apply for exemption of course/s by writing officially to the respective Programme Head.
ii) Students will be informed officially of the decision regarding their exemption.

5.00 WITHDRAWAL FROM EXAMINATION

Students who have registered for courses but are unable to sit for the examination due to unavoidable circumstances may apply for withdrawal from examination, subject to the recommendation of Programme Heads and approval by the Director of Academic Studies. If the withdrawal is due to illness or injury, the candidate must furnish the Registrar with a letter from a doctor and certified by the respective Programme Heads. In the above case, an 'F' grade will be recorded. The student will be required to sit for the examination when it is next offered.

6.00 ATTENDING EXAMINATION
A student may be given the F grade if he fails to attend the examination paper which he has registered.

7.00 EXAMINATION SCHEDULE

The examination schedule dates will be announced by the Academic Admintration.

8.00 EXAMINATION TIMETABLE

The timetable for the semester examination shall be posted on the main notice boards not less than four (4) weeks prior to the commencement of the examination.

9.00 CONDUCT OF EXAMINATION

i) It is the responsibility of the student to sit for all papers that he/she has registered.
ii) A student must bring his current matric card and examination index slip to gain entry into the examination hall.
iii) All students will be seated in the specified examination hall at least 15 minutes before the beginning of the examination. However, a student will not be allowed to enter the examination hall without prior permission from the Invigilator.
iv) A student will not be allowed to enter the examination hall after the first half hour nor leave during the last half hour of the examination.
v) All students must write their student examination index number clearly on the cover of the examination answer booklet.
vi) All writing must be in ink ( including ball point pen) except for diagrams and OMR answer sheet.
vii) No student is allowed to tear out any part from the examination answer booklet.
viii) Smoking, drinking and eating is not permitted in the examination hall.
ix) A student who wishes to visit the washroom must obtain permission from and must be accompanied by an invigilator
x) A student who requires extra writing paper or any other assistance must raise his hand to attract the attention of the invigilator.
xi) All completed answer scripts must be placed in such a way that no other student can read them.
xii) Students must not read or attempt to read the answer scripts of any other students.
xiii) There must be no communication of any kind in the examination hall except with the invigilator.
xiv) Should a student breach any of the above conduct, the chief invigilator has the authority to disqualify him/her from the examination.

10.00 INVIGILATION AND EXAMINATION DUTIES

Invigilation and examination duties are based on instructions given out by the Director of Academic Studies and are subject to amendment from time to time.

12.00 NULLIFICATION OF GRADE

If a student has been found guilty of violating Academic Regulations, the Examination Committee shall recommend to the Senate that the student should be given the 'F' grade for the said course.

13.00 WITHHOLDING OF RESULTS

Where a candidate has failed to comply with the rules pertaining to a particular course, irrespective of whether he has been permitted to sit for the examination or otherwise, his results in either a particular course or the whole of the programme may be withheld at the discretion of the Registrar, pending his subsequent compliance with these rules.

14.00 APPEAL FOR RE-MARKING

An appeal for re-marking should be made within two weeks after the results are issued. The appeal shall be forwarded to the Registrar and shall be accompanied by a payment of non-refundable processing fee of RM 50.00 per course. The amount of processing fee is subject to change from time to time. The decision on the appeal which will be announced by the Registrar is final.

15.00 APPEAL FOR REINSTATEMENT

An appeal for reinstatement shall be made to the Academic Committee. The matric card and index slip must be displayed on the right hand side of his/her desk until the end of the examination.
